This Privacy Policy describes how Xaintec ("Xaintec," "we," "us," or "our") collects, uses, shares, and protects information when you visit https://xaintec.com(the "Site"), contact us, or engage our professional services.

By using the Site or submitting information to us, you acknowledge this Policy. If you do not agree, please do not use the Site or submit personal information.

1. Who we are

2. Information we collect

Information you provide

  • Contact and discovery forms: name, company, email, WhatsApp or phone number (including country code), project interest, budget range, and message content.
  • Emails, calls, meetings, and proposals exchanged during sales or delivery.
  • Account or project credentials you choose to share under a separate agreement (handled with least privilege).

Information collected automatically

  • Standard technical logs: IP address, browser type, device type, pages visited, referring URL, and approximate location derived from IP.
  • Cookies or similar technologies used for essential site function, security, and (if enabled) analytics.

Information from clients and systems we operate for them

When we build or run systems for a client (for example messaging, CRM sync, analytics, or AI tools), we may process personal data on that client's behalf as a service provider / processor under their instructions and our contract, not as a controller of their end-customer relationships.

3. How we use information

  • Respond to inquiries and schedule discovery calls.
  • Provide, configure, and support contracted services.
  • Improve the Site, security, and our offerings.
  • Send service-related communications (and marketing only where permitted).

4. Messaging, WhatsApp, and integrations

If we implement WhatsApp Business / Cloud API or other messaging, CRM, or data integrations for a client, message content and related metadata are typically processed under that client's provider accounts and policies, plus our statement of work. We use scoped credentials, limit access to what is needed for delivery, and do not use client end-user data for unrelated marketing.

5. Artificial intelligence

We may use third-party AI services to deliver features agreed with a client. We do not use a client's private business data to train foundation models by default. Any AI processing is scoped to the engagement and subject to the relevant provider terms and our contract with the client.

6. Sharing of information

We may share information with:

  • Service providers who help us operate (hosting, email delivery, analytics, communications) under confidentiality and use restrictions.
  • Professional advisors (legal, accounting) when needed.
  • Authorities or parties where required by law or to protect rights, safety, or security.
  • A successor entity in connection with a merger, acquisition, or asset sale, subject to appropriate protections.

7. Cookies and analytics

The Site and our services are directed to businesses and adults. We do not knowingly collect personal information from children under 16. If you believe we have done so, contact us and we will take appropriate steps to delete it.
